How to Process a Bid: Steps 1–75

Follow the red numbers in order. Every number and action below matches the red number attached to that control in the estimator, from 1 — New Bid through 75 — Mark as Sent.

Before Step 1: Sign in with your assigned account and collect the latest solicitation, searchable specifications, all addenda, customer bid forms, deadline, and submission instructions. Plan review and counting happen outside The New Terminator — read the drawings at your desk, then dictate your counts and notes through Voice Takeoff. These are preparation requirements, not separate red program numbers.

  48. G. Voice takeoff & coverage · Steps 48–54Estimator Open Voice Takeoff and dictate every count and noteClick the 🎙 Voice Takeoff toolbar button. Read your counts off the drawings out loud — twelve dome cameras on the second floor, three hundred feet of cat6 — or type them. Say we're in the lobby to tag locations and scratch that to undo.
  49. Estimator Send the takeoff to the bid, then Apply the priced linesClick Send to Bid on the capture page, switch back to this tab, review the catalog pricing on each line, and click Add to bid. Lines land as draft manual BOM items.
  50. Conditional Work the Legend Coverage card until nothing is missingIf you dropped a legend at Step 3, every device type it lists must end green: dictate a count for it or mark it N/A on this job.
  51. Conditional Accept or adjust the cable suggestions from your device countsThe program derives homerun cable by the average-drop method — 150 ft per data drop, 90 ft per card reader, 120 ft per camera. Adjust the average for this building, then Add to BOM. If you dictated cable yourself, it stands aside.
  52. Estimator Confirm the takeoff total before the deep reviewSanity-check the BOM grand total against your gut number for the job. Price every $0 “unpriced” line with your real cost.
  53. Conditional Legacy plan bids only: return to the large green review buttonApplies only to older bids that ran the plan analysis. Voice-first bids skip 53–54 entirely.

  55. H. Review Results & RFIs · Steps 55–66Estimator Review the final bid total and Bid Readiness scoreCompare the total and cost breakdown with the expected range. Follow every Bid Not Ready or Review Recommended instruction.
  56. Estimator Open Diagnostics and resolve every warning or sanity issueClear blocking math, scope, count, page, safety, and integrity findings.
